Cruzio & IMAP

If you check your email with multiple computers, or with a mobile device like an iPhone, you want to check out the email protocol IMAP.  IMAP has a few major advantages over POP, which is an older email protocol that you might still be using.

Synchronizing across multiple devices

If you use a desktop email program like Outlook Express, Thunderbird, or Apple Mail, wouldn’t it be nice to see the same folders and emails when you log into Web mail? IMAP will give you full synchronization wherever you check your email: desktop, laptop, mobile, or Web mail. You won’t have to get by with “Keep messages on server” anymore!

Check from multiple clients at the same time

IMAP was designed to be concurrently accessible by multiple clients. This means that you won’t run into any problems when collecting your email from your desktop and a portable device such as an iPhone or a Blackberry. With POP there was a potential for collision when both devices checked for email at once.

Ready to switch?

Unfortunately it’s not as easy as clicking a button in your email program to switch from POP to IMAP. Your email address is already configured for IMAP on our end, but the mail client your computer uses will need some work. If you need help, please contact Cruzio Support.

  1. First you’ll need to add an IMAP account to your email program. Do this before removing your POP account so that you don’t lose old emails stored in the POP account folders.
  2. Next, move messages from the POP account folders into the IMAP account folders, this will get the messages synchronized to your account on our servers.
  3. Now log in to your email account by going to cruzio.com and clicking the envelope icon in the upper right corner.  Once logged in, verify that your messages were successfully copied to the IMAP folders.
  4. Once you’re sure that all your email is in the IMAP account, you can safely remove the POP account from your email client.
  5. Now all of your email will be in sync across all of your computers, mobile devices, and Web mail.

Any gotchas?

Just one: Members with Cruzio domains using our “Classic Hosting” will need to upgrade to our newer hosting to have IMAP available to them. Luckily, we can migrate you to our newer hosting pretty easily. Please contact us if you’d like to migrate.

What does IMAP stand for, anyway?

IMAP stands for “Internet Message Access Protocol.” Now you know, and knowing is half the battle!

What is Webmail?

It’s a Web-based email program. That means you can use it to check your email from any computer without having to configure an email program like Outlook. Webmail was designed to handle very large mailboxes efficiently and it allows users to create folders in which to store saved messages.

How do I use Webmail?

To use Webmail, all you need is a computer with a connection to the Internet and a browser like Chrome, Firefox, Internet Explorer or Safari. To log on to Webmail, log in to Cruzio.

General Domain Email Help

How do I log in to the control panel for my email address?

If you are not the domain administrator:

If the domain administrator has allowed access to your control panel, you will be able to log in to it. If not, the domain administrator will need to make any changes for you.

  1. Browse to cruzio.com and go to the Domain Tools.
  2. When prompted, enter your domain name (the part of your email address after the @ symbol). Then select “Control Panel” and click “Go”.
  3. Log in with your full email address and current password.
If you are the domain administrator:
  1. Browse to cruzio.com and go to the Domain Tools.
  2. When prompted, enter your domain name (the part of the email address after the @ symbol). Then select “Control Panel” and click “Go”.
  3. Log in with your admin username and password.
  4. Click the domain of the email address (if you do not see the domain name, you may need to click “Domains” first in the Main Menu section).
  5. In the Services area or the Mail area, click the Mail icon or the Mail Accounts icon.
  6. Click the email address whose settings you want to change.

How do I change my email password?

How do I forward my mail to a different address?

  1. Log in to the control panel page for your email address (see the 2 methods above).
  2. In the Tools section, click the Redirect icon.
  3. Enter the address to which you’d like your mail forwarded, and click OK.

What is a mail alias and how do I set it up?

An alias is another name for an existing email address; e.g., all mail sent to the alias joe@mydomain.com is delivered to mailbox joseph@mydomain.com. Please note aliases can only be added by the domain administrator.  To add an alias:

  1. Log in to the control panel page for your email address (see the administrator method above).
  2. In the Tools section, click the Add New Mail Alias icon.
  3. Enter the alias name and click OK.

All email sent to this new alias will now be received by your email address.

Does Cruzio Domain Email include a webmail program?

Yes; Cruzio Domain Webmail is also called Horde. To access it, browse to cruzio.com and go to the Domain Tools.   When prompted, enter your domain name (the part of the email address after the @ symbol). Then select “Webmail” and click “Go”.  A Horde login window will pop up.  Log in with your full email address and password.

How do I set up and configure my email?

Log in to the control panel page for your email address (see the administrator method above). Click the domain you want to configure – if you do not see the domain name, you may need to click “Domains” first in the Main Menu section. In the Services area or the Mail area, click the Mail icon or the Mail Accounts icon.

To create and email address, click “Add New Mail Name” or “Create Mail Account”. Enter the mailbox name, and the password twice. Click OK.

To make changes to an email address, such as redirecting it or setting up an alias or an autoresponder, click the email address in the Name list. In the Tools section, click the tool you want to use.

Desktop/Mobile Email Help

Which desktop or mobile email programs can I use?

The email program that came with your computer or mobile phone will almost certainly work. You can use any email program you wish with Cruzio Domain Email—Windows Mail, Outlook Express, Thunderbird, Mac OS X Mail, Entourage, and so on. (Note that some proprietary email programs, such as AOL Email, only work with a specific email provider.)

How do I set up my email program to get my Cruzio Domain Email?

Cruzio does not provide step-by-step instructions for all email programs. However, Cruzio does provide your Account Info, which includes your email login, password, and mail server settings, at the time of signup. The general Cruzio Email Settings are also available. You may be able to use these references to set up your email program, even without step-by-step instructions.

Spam Help

How do I set up spam and virus filtering?

To set up virus filtering, log in to your Domain Control Panel. In the “Custom” or “Custom Buttons” section, click Manage Virus Filtering. Virus filtering can be set up for all mailboxes under a domain or can be applied to individual mailboxes.

To set up spam filtering:

  1. Log in to your Domain Control Panel.
  2. In the sidebar, under “Custom” or “Custom Buttons”, click Manage Spam Filtering.
  3. If you are setting up filtering for the whole domain, click the wrench to the right of the domain name. If you are setting up the filter for an individual address, click the domain name and then click the wrench to the right of the email name.
  4. Now you can adjust the filter settings. To see what each setting is for, click the Help link in the sidebar.

Once you have spam filtering activated, you may want to set up your desktop email program to move all spam messages to a junk folder, to keep them out of your Inbox. Here are instructions for Spam Filtering Setup for Windows and Spam Filtering Setup for Mac.

How do I add email addresses to my spam filter’s whitelist?

  1. Log in to the control panel for your email address (see the 2 methods above).
  2. In the sidebar, click “Manage Spam Filtering.”
  3. If you are logged in as the administrator, click your domain name. Otherwise, move on to the next step.
  4. To the right of your email name (email address), click the tiny wrench icon.
  5. In the section “White List settings for mailbox,” in the “Email address” field, type the email address you don’t want marked as spam.
  6. Click the Add button. The address will show up in the “Always accept mail from these addresses” box.

How do I set up an “announcements only” mailing list in MailMan?

An “announcements only” mailing list is one in which only the list owner or other specified person may post or reply to announcements. Here’s how to do it:

  1. Select the domain you want to configure. If you see a ‘Mailing List’ icon, click it. Otherwise, click the ‘Mail’ icon under Services, then choose the ‘Mailing List’ tab.
  2. Click ‘Add New Mailing List’ and indicate your preferences. Select ‘OK’ when finished.
  3. Go up one level to the Mailing lists level. Before you add email addresses to the list, select the blue button to the far right, beside the mailing list name. Please note: if you have changed the interface skin preferences, the button may be a different color.
  4. A new window will open. This is the mailing list administration control panel. You will be prompted to enter your List Administrator Password. Select ‘Privacy options…’, then ‘Sender filters’. At the part titled ‘By default, should new list member postings be moderated?’, Select ‘Yes’.
  5. On the same page, at the part titled ‘Action to take when a moderated member posts to the list’, select ‘Reject’. At the part titled ‘Text to include in any rejection notice to be sent to moderated members who post to this list’, enter a short note stating that it is an announcement-only list and include instructions as to how the person can unsubscribe from the list. Scroll to the bottom and click ‘Submit Your Changes.’
  6. Now specify which email address(es) may send announcements to the list. To enable a mailing list member to send announcements, from the same mailing list administration window, choose ‘Membership Management…’. The ‘Membership List’ page will be displayed. Deselect the ‘mod’ checkbox next to the addresses you wish to enable. Select ‘Submit Your Changes.’
  7. If an email address which is not a member of the mailing list is to be allowed to send announcements, from the same mailing list administration window, choose ‘Privacy options…’, then select ‘Senders filters’. About midway down the page, at the part titled ‘List of non-member addresses whose posts should be automatically accepted’, enter the email address(es) of those non-members you want to allow to post to the list.

How do I manage the advanced settings of my mailing list?

The link to the mailing list administration control panel is included in the initial setup email and at the bottom of the mailing list info page. There is also a button on the mailing list tab of mail services in the domain control panel that takes you there. It’s the small blue square with the gear at the far right of the listing for each mailing list. Please note: If you have changed your Interface skin preferences, the button may be a different color.

General Email Questions

What do I need to use email?
To use email, you need three main things: an email account, a program to create, send and receive email, and a computer connected to the Internet.Email Account: Think of an email account as a post office box at the local post office. An email account consists of a “mailbox” on a server at some email company somewhere (the post office). To get access to the mailbox, you must have two things: the name or login of the mailbox (like the P.O. number that identifies your mailbox as yours and no one else’s) and the password (or key) to allow you and only you into the box to get your mail.Email Program: You need a computer program to do the work of checking to see if you have any new mail by locating your mailbox and unlocking it, as opposed to you hustling down to check your P.O. box at the post office on your own two legs. You can have an email program on your computer, set up just for your mailbox, or you can use Cruzio Webmail (by clicking the envelope icon in the upper right corner of cruzio.com), which means nothing stays on your computer permanently unless you download it.

Most popular email programs come already loaded onto new computers. You might have Windows Mail, Outlook Express, or—on a Mac—just Mail.

Internet-Ready Computer: Obviously, you need to have a computer to use email. You also need that computer to be connected to the Internet. However, you generally only need that connection to be active when you are sending or receiving messages.

When I send someone email, how long does it take them to get it?
When you send a message, it leaves Cruzio’s network almost instantly. After that, how long it takes to get there depends on how the mail is delivered to that person. Many large on-line services, like Gmail and Hotmail, queue their mail. What this means is that all mail messages delivered to those networks are held in a temporary storage bin until their computers have time to deliver it. If the mail server is very busy it can take hours to deliver your message. If your recipient’s network is not operational for some reason, Cruzio will send you a message to let you know that we couldn’t deliver your message, but we’ll keep trying. After three days, if your recipient’s provider is still not accepting mail, Cruzio’s server will send you another message to let you know that it is no longer going to try to deliver your message.

What are the parts of an email address?
An email address has two main parts: the login and the domain name. The login is a unique name that identifies that person on their service provider’s network.  The domain is the address of the mail server on which the mailbox resides.Example: Our support email address is helpdesk@cruzio.com. In this case, helpdesk is the login and cruzio.com is the domain name.Below is an example of an email message header:

From: someone@somehost.com

To: helpdesk@cruzio.com

CC: someone@someotherhost.com, someoneelse@somehost.com

Date: August 1, 2002

This is what each section means:

From: The sender’s name (optional) and email address

To: The email address of the recipient

CC: The addresses of people that will receive a copy of the email message (CC stands for ‘carbon copy’, some programs also have BCC, which stands for ‘blind carbon copy’ meaning that the addresses of those recipients won’t appear in the email header).

Date: The date the message was sent.

What do the .com and .edu at the end of an email address mean?
An email address ends with a certain type of domain identifier. These can be used to figure out what type of service provider the person uses. The following are explanations of the most common domains:.com – commercial business.edu – educational institution

.gov – government entity

.mil – military entity

.net – network provider

.org – non-profit organization

.us – United States

When a message originates outside the US, an abbreviation for the name of the country is contained in the email address. Here are a few examples:

.ca – Canada

.de – Germany

.nz – New Zealand

.il – Israel

.uk – United Kingdom

.jp – Japan

.fr – France

Can I send photographs, sound, and video in my email messages?
Yes. You can include any file that you would like in your email messages as an attachment.Note: Adding photographs, sound and video to your message will increase the size of the message you are sending, and there is a limit to how large those can be. We recommend you send messages no larger than 20 MB, otherwise you message could bounce back to you.

How can I have all the email from one address forwarded to another?
See the instructions in the help for your specific type of email.If you cancel your email account, free email forwarding is provided for three months for all addresses ending in cruzio.com. Please contact Member Services with your request to set up email forwarding for a canceled or soon to be canceled address. Please be sure to include the address to which you would like your mail forwarded.

I’m switching from one email program to another. How do I move my address book?
You’ll need to export your addresses from your old program, and import them into the new program. See our Importing and Exporting Addresses instructions.

How private is my email?
Although millions of people use email every day, that does not mean that it is the most secure way to communicate. It can be compared to talking on a mobile phone. If someone is looking hard enough, they may be able to locate your transmission. Cruzio advises strongly against sending highly sensitive information like passwords and credit card information via email.

Does Cruzio block port 25?
Yes. Blocking port 25 is one way ISPs can help stem the number of junk mail messages flowing around the Internet.Most users are totally unaffected by Port 25 blocking, but if you’ve configured a server to connect directly to Port 25 on a non-Cruzio mail server or you’ve set up your email client to do so, you won’t be able to send mail until you request unblocking.DSL customers with a static IP address may request that Port 25 be unblocked for them. If you don’t already have a static IP address, please contact our Customer Service team.

If you use Cruzio to connect to the Internet and use another company’s outgoing mail server to send your mail, you should use an alternate email port (See Outgoing Mail Port Setup for Windows or Outgoing Mail Port Setup for Mac). The most commonly used port is 587, but you should check with the other company to find out what they recommend.

I keep getting email I don’t want. How can I stop it?
If you’re getting unsolicited email (also known as junk mail or spam), activate your Spam Filter. Further details are in the specific help for your type of email.Cruzio does not allow its members to spam others. How do spammers get my email address?
Typically, a junk mailer buys a list of email addresses from a broker, who compiles it by “harvesting” addresses from the Internet. (There is a tool to encode email addresses to evade spammers’ harvesting robots.)Spammers can get your address from such things as online forms that you fill out. Be careful whom you trust with your email address.Another spammer method is to use a computer-generated list of letter and number combinations, like ‘groucho3@cruzio.com <mailto:groucho3@cruzio.com>’, ‘groucho4@cruzio.com <mailto:groucho4@cruzio.com>’, etc. Many of the combinations won’t be deliverable, because there is no ‘groucho4’, but there are bound to be lots of valid addresses in the mix. The spammer then uses special software that can send hundreds of thousands—even millions—of messages at the click of a mouse.

One way spammers are not getting your email address is through Cruzio. We do not sell, trade or release customer information.

What does Cruzio do to prevent spam?
Cruzio does not sell, rent, or trade our customers’ email addresses.Our firewall rejects messages from sources which have threatened our network.Our mail server rejects messages from bogus domains.

We block connections from any computer on the SpamHaus Blocklist. In the past, Cruzio has chosen not to block spam, but to provide filters and other means for customers to decide for themselves the messages they wish to receive. Mail delivery delays due to the enormous volume of spam prompted us to reverse our policy.

Relayed mail is blocked from going through our outgoing mail server. Only people directly connected to Cruzio can send email through our servers. Otherwise, the unscrupulous could use our mail servers to send spam.

Cruzio does not allow people to send spam from or through our network. When we get complaints about junk mail coming from Cruzio, we investigate and take action, possibly including closing the spammer’s account.

What should I do if I think I have received a virus from an email message?
If you do not already have antivirus software installed on your computer, you should buy a downloadable version of an antivirus software and install it immediately. (See the Security Tips page for software suggestions.)If you do currently have antivirus software, you should update your virus definitions immediately and run the program to check for new viruses. The longer you wait to clean your system of a virus, the more damage can be done in the form of your own files or system being compromised and by your system propagating the virus even further across the Internet.Sites such as Symantec.com and McAfee.com have loads of late-breaking information about viruses. Why do I have trouble opening attachments?
The main cause of trouble with attachments is not having the proper program on your computer to be able to read an attachment. For example, if you send a document to a friend that was created in Microsoft Word as an email attachment, they must have Microsoft Word on their own computer to be able to view and read it. Some software is fancy enough to be able to read many different file types but unless you are sending or receiving something very common (html, text, etc.), you risk not being able to open your attachment.

When I try to get my email, why am I getting a password error?
If this is happening to you, it means the password you are typing is wrong. This can be because of a couple of reasons. Most commonly, your password has been mistyped. Verify that the caps lock is off on your keyboard and retype your password slowly. If that does not help, it is possible your password was somehow reset or that you are behind payments on your Cruzio account. Cruzio Technical Support can get you up and running right away. Give us a call. Please note that if you are behind in payments on your Cruzio  account, we will require payment before we are able to restore your account.

When I try to get my email, it says it’s “looking for mx.cruzio.com…” but it just spins and spins. What is happening?
This can be the result of many things. Most commonly, you have lost your connection to the Internet. Quit your email program, restart your Internet connection and then try to retrieve your email once more, when you know you are online. Another common cause is large emails. Most free email programs out there cannot handle transferring files larger that a few megabytes in size. If you have received a large email from someone, it can clog your email transfer. To see if this is the case, you should go to to the Cruzio website and click the envelope icon in the upper right corner and log in. Then delete any problematic message from there. If this is not the cause of the problem, make sure that there is no service outage on the Cruzio network by reading the Network Status page, or by  calling and choosing System Status from the phone menu.

When I try to send email, I get the message “User Unknown” or “Host Unknown.” Why?
You will get this error message when the address to which you are trying to send is invalid. You should double-check the address for errors. If you replied to a person’s message, then it means that their reply-to address is wrong and you should manually address your message to that person (and inform them that their reply-to address is incorrect). You will also get the ‘User Unknown’ message when that person has changed service providers and is no longer at that address, just as you get the ‘Disconnected or no longer in use’ from the operator when a person discontinues their telephone service.

Why are some of the dates wrong on the email messages I get?
The date and time of an email message is set by the sender’s computer. If the person that sent you the email message had their date set January 1, 2000 and their clock set to 8:00pm, the header of the email message would say it was sent on January 1, 2000 at 8:00pm.

How to Add SPF Records for Website Hosting

This information applies to Cruzio’s Website Hosting services. If you purchased web and domain hosting with Cruzio after July 2006, you likely have a Website Hosting services. Otherwise, you may have a Classic domain.  If you have a Classic domain, you will need to contact Cruzio if you want to add SPF records to your domain.

Setting up a SPF Record on your domain will help prevent spammers forging email from your domain. Learn more at openspf.org.

You can use the SPF Record Wizard to create a record to put on your domain.

Adding an SPF record in your control panel

  1. Log in to your domain control panel with the Cruzio Domain Tools.
  2. Select the domain name you want to create the SPF record for. If you are on host 6 or 7, this can be accessed by first clicking Domains under the Main Menu in the upper left hand corner.If you do not know what host number you are on, after you log into your control panel, look at the URL at the top of your browser. You will see it start with https://host followed by a number. That is the host number you are on.
  3. If you are on host 1, 2, 3, 4, or 5, click DNS Settings under the Services section. If you are on host 6 or 7, click DNS Settings under the Web Site section.
  4. Under the Tools section, Click “Add record.”
  5. Under “Record type,” open the dropdown menu and choose TXT.
  6. In the field next to “Enter TXT record,” paste your SPF record. Click OK.

How to Forward Email with Complete Headers

When troubleshooting an email problem, Cruzio Support may ask you to forward the email message, including complete email headers, to them for evaluation. Here’s how.

Cruzio Mail

  1. Log in to Cruzio Mail.
  2. Click the subject of the message you want to forward.
  3. Click the View Full Header link to the right of “Preferences”, directly above the body of the message.
  4. Select all the information in the header section. In your browser menu, choose Edit -> Copy.
  5. Click the “View message” link.
  6. Click the “Forward as Attachment” link.
  7. In the To field, type helpdesk@cruzio.com.In the body of the message, add as much of the following information as possible:
    • Your name
    • Your account number
    • Your phone number
    • Brief description of your problem
    • Your email address
    • Your DSL phone number, if applicable

    In the message body, click below this information, and in your browser menu, choose Edit -> Paste. You should see the headers pasted into the message.

    Click Send.

  1. Log in to Cruzio Domain Webmail (Horde).
  2. Navigate to your inbox and click the subject of the message you want to forward.
  3. Click the “Show All Headers” link that appears just below the subject.  If you do not see “Show All Headers”, instead mouse over the “Headers” link that appears on the far right of the row of links just above the message’s date. “Show All Headers” should appear in a little pop-up window, click it.
  4. Select all the information in the header section. In your browser menu, choose Edit -> Copy.
  5. Click the Forward link.
  6. In the To field, type helpdesk@cruzio.com.In the body of the message, add as much of the following information as possible:
    • Your name
    • Your account number

IMAP or POP: Which should you use?

This help document describes the differences between using IMAP and POP with your Cruzio email in a mail program, such as MS Outlook, Apple Mail, or Mozilla Thunderbird. When configuring your email into a mail program, you can choose between either POP or IMAP email protocols.

You may want IMAP setup if…

  • You check your email with different computers, smart phones or other devices. IMAP setups allow you to keep all of your messages, file attachments and folders in sync, and remembers the condition that you last left them in (read, replied, forwarded, etc) regardless of what computer or device you access your email from.
  • You use Cruzio Webmail in addition to an email program. IMAP lets you keep all of your messages, file attachments and folders synchronized between your webmail and your email program.
  • You want Cruzio to backup your email. IMAP messages, file attachments and folders archived online are automatically backed up daily on the Cruzio email server.
  • You use a computer or device with limited storage space. IMAP lets you store messages and file attachments online and takes up no space on your computer. However, you will be using the Cruzio email server for storage which does have a limit in how much space is available to store messages. So while it will take some time for your mailbox to reach its limit, you will need to keep an eye on mailbox storage limits by periodically logging into your webmail account and clearing out any old and/or large messages you no longer need. An automated email notification is sent whenever you approach the mailbox storage limit.
  • You use POP and leave messages on the server. IMAP is designed for this scenario, so you may want to consider making the switch to IMAP.

You may want POP setup if…

  • You check your email exclusively with one computer. POP works best when you only manage your email on one computer as POP downloads all of your messages and attachments from the Cruzio mail server to your computer.
  • You prefer to store your messages on your computer rather than the Cruzio server. If your internet service goes down for any reason and your messages are stored on the Cruzio server, you will not be able to get to any old messages until internet service is restored. With POP saving your messages to your computer, you can access any messages you’ve already downloaded any time, even if your internet is offline.
  • You want to perform your own email backups. When you download the messages from the Cruzio server, it is up to you to use your preferred software on your computer for backing up your emails. Cruzio will not be able to back up your messages once they are on your computer, but you will have more control over how the backups work, what they back up, and how frequently they run.
  • You must use an email program that does not work with IMAP. Some mail programs do not allow the use of IMAP. If you have to use one of these mail programs, then you will want to go with POP.
  • You want to manage your mailbox storage limits on your computer and prefer not to delete emails often. Even though the storage limit in your Cruzio webmail should take a while to fill up, in most cases your computer will provide a lot more storage space for your emails. If you computer has the space available and you prefer not to log into Cruzio webmail to periodically delete old messages, use POP. This will download the messages to your computer, automatically freeing up the space on Cruzio’s server for new email.

While POP has some advantages over IMAP, and IMAP has some advantages over POP, it really just comes down to a matter of preference. We do not recommend either one over the other, but we hope these lists help you choose which one will best suit your needs.

Mac OS X Mail: Saving messages from an account you want to delete

These instructions about a non-Cruzio product are provided for the convenience of Cruzio’s customers and may contain inaccuracies. Further questions should be directed to the software manufacturer.

This document is for a user with a Mac computer who has Apple Mail and wants to delete or replace an email account without losing any messages saved.

Any messages saved in the Inbox, Sent, Received or Draft folders associated with the email account will be lost when the email account is removed, even if there is another configuration of the same email address. To avoid this, please follow the steps below:

1. Start Apple Mail.

2. Open the “Mailbox” menu and click “New Mailbox”.

3. Click on the “Location” drop down menu and select “On My Mac”.  Then type your choice of a mailbox name into the “Name” field in the window that opens. For example, you could name it “Messages” for all the messages you want to save, or “Sent” if you just want to save your sent messages in this new mailbox. Click the “OK” button when done. Your new mailbox will appear in the Mailboxes column on the left, towards the bottom.

4. Locate and highlight the messages you want to save to the mailbox you just created. Then click and drag the messages into your new mailbox in the column on the left.

5. Repeat steps 2 through 4 for any extra mailboxes you want to create.

Once you have moved all your messages from the mailboxes associated with the email account you no longer need, it will be safe to delete the email account from Apple Mail.

Outgoing Mail Port Setup for Mac

These instructions are for Mac OS X 10.9, 10.8, 10.7, and 10.6.

Use the following instructions to configure your email program to use an alternate port for outgoing email. This is generally needed when your Internet provider blocks Port 25 from non-local servers (a common spam-prevention practice).

Mac OS X Mail

  1. Open Mail. In the menu bar, choose Mail -> Preferences, and then click Accounts.
  2. From the Accounts list, select your account, and then click the Account Information tab.From the Outgoing Mail Server drop down menu, choose Edit SMTP Server List.
  3. From the list of servers, select your server and then click the Advanced tab.Select “Use custom port” and in the space provided, enter 587.

  4. Close the Account Settings window, and then click Save in the message that appears.

Sent Email Returned as Undeliverable (Relaying Denied)

This document is for all Cruzio members who use Cruzio’s email services.

What happens when an email is returned because relaying was denied?

After you send an email message, you immediately receive a message in your inbox titled Undeliverable: ‘Your Subject Title’. The message looks something like this:

What are some possible solutions?

If the above solutions do not work, there may be a problem with your recipient’s email server settings. You may wish to contact the person you were trying to email, and ask them to check their email server settings with their email provider.

Spam Filtering Setup for Domains on a Mac

These instructions assume that you have Cruzio Website Hosting services. If you purchased your Web and Domain account before July 2006, you have Cruzio Classic hosting, which does not filter junk mail in this way.

Spam filtering is automatically enabled for every mailbox, and when a message is marked as spam by the software, the subject line will include the text ***SPAM***. Follow these simple rules to route these messages to a junk folder and keep them out of your inbox.

1) Launch Entourage and select “Rules” from the “Tools” menu at the top of the window.

2) Select “New” and type “Junk Mail” next to “Rule name”.

5) Under “Then”, choose “Move message” and “Junk E-mail (On My Computer)” from the top two dropdown menus.

6) Note: Some versions of Entourage don”t display a “Junk E-Mail” folder. To create one, select “New Folder” and type in Junk, select OK and then ” Choose”.

7) Be sure “Enable” is checked and select “OK”.

4) A new window will open called “Type specific words”. Type ***SPAM*** and select “Add”  and the “OK”.

5) Back in the “New Mail Rule” window select “specified” in section 3. A new window will open called “Move”. Highlight “local folders” and select “New Folder”.

6) Type “Spam” without the quotes and “OK”. You should now see the new folder listed in the “Move” window. Select “OK”.

7) Under section four, type the name of the rule you just created, for example: “My spam rule” and select “OK” and
again to close the Window.

Every mailbox hosted by Cruzio has a fixed allowance, or quota, of storage space on the Cruzio mail server. If your mailbox fills up, incoming mail will bounce back to the sender instead of being delivered to you.  Every Cruzio Domain mailbox starts with a quota of 50 megabytes (MB) shared between all folders.

Make Space in Your Mailbox

  1. Browse to cruzio.com and go to Domain Tools.
  2. Enter your domain name (part of your email after the @ symbol), select “Webmail” and click “Go”.
  3. Log in with your full email address and password.
  4. Delete unnecessary email, especially messages with large attachments.
  5. Keep unwanted mail out of your mailbox by turning on your Cruzio Junk Mail Filter.
  6. If the Inbox in your email program isn’t large, yet mail is bouncing, then your email program is probably leaving copies of your messages on the Cruzio server. In this case, follow the instructions below for your email program.

Entourage for Mac OS X
  1. Open Entourage. In the menu, choose Tools -> Accounts.
  2. Select your email account. Click Edit.
  3. Click the Options tab.email_overquota_entourageUncheck “Leave a copy of each message on the server.” Click OK.
Mail for Mac OS X
  1. Open Mail. In the menu, choose Mail -> Preferences.
  2. Click Accounts. Select your email account. Click the Advanced tab.

  3. Check “Remove copy from server after retrieving a message.”
  4. Set the drop-down menu to “Immediately.”
Outlook 2007 for Windows
  1. Open Outlook 2007. In the menu, choose Tools -> Account Settings.
  2. Click the Email tab. Select your email account. Click Change.
  3. Click More Settings. Click the Advanced tab.

  4. Uncheck “Leave a copy of messages on the server.”
Outlook Express for Windows
      1. Open Outlook Express.
      2. In the menu, choose Tools -> Accounts.
      3. Click the Mail tab.
      4. Select your email account.
      5. Click Properties. Click the Advanced tab.

Thunderbird for Windows or Mac OS X
        1. Open Thunderbird. In the menu, choose Tools -> Account Settings.
        2. Select your email account. Click Server Settings.

Windows Mail for Vista
          1. Open Windows Mail. In the menu, choose Tools -> Accounts.
          2. Select your email account. Click Properties.
          3. Click the Advanced tab.

If you know that you want to keep messages so you can view them from any computer using Cruzio Webmail, just be sure to follow the other suggestions under “Make Space in Your Mailbox” to make sure your mailbox doesn’t go over its quota.
